Privacy policy Villa Car d'Or

This policy

This Privacy Policy explains how we handle the personal data of our guests. We place great importance on protecting your privacy and treat your data confidentially and in accordance with legal regulations.

1. What data can we collect?

  • Identity details: Last name, first name, and (if legally required for the guest register) a copy or number of your identification document.
  • Contact details: Address, email address, and phone number.
  • Payment details: Information regarding the payment of the rent amount and the security deposit.
  • Stay details: Date and time of arrival and departure and the number of people in your party.
  • Date and time of use of the electronic access code

2. Why do we collect this data?

We use your data for the following purposes:

  • Execution of the agreement: To manage your booking, process the payment, and communicate with you about your stay.
  • Legal obligations: In Belgium, we are often required to maintain a guest register for the local government or police (tourist tax).
  • Emergencies: To be able to reach you in case of emergency or urgent matters related to the property and for purposes of evidence.

3. How long do we keep your data?

We do not keep your data longer than necessary:

  • Billing information: Will be kept for the statutory tax period of 7 years.
  • Operational data: Information for the practical handling of your stay will be deleted after the security deposit has been properly settled, unless there is an ongoing dispute.

4. Sharing of data with third parties

We never sell your data to third parties. Your data is only shared with:

  • Government agencies: For legal reasons (e.g., tourist tax)
  • Service providers: such as an external cleaning service or a handyman, but only when needed for the sake of your stay (e.g. to make an appointment during your stay)

5. Your rights

You always have the right to:

  • Consult and correct your data
  • Ask for the removal of your data (as long as this does not interfere with the legal obligation to maintain you records e.g. for tax or accounting purposes)
  • Deposit a complaint at the data protection authority if you believe we did not correctly handle your data.

6. Security

We take appropriate technical and organisational measures to protect your personal data against loss, misuse, or unauthorised access.
